Control
Determine who should be able to access the information.

The objective is to reduce uncontrolled copies and prevent employees from having to guess which version is correct.
Access
Make it practical for authorized employees to retrieve information wherever they work.

A secure system that employees can't practically use from the field will encourage workarounds.
Verify
Finally, make it easy for employees to know that they're working with the correct information.
This is especially important for drawings and other project documents that change throughout the life of a construction project.

Moving information to a cloud platform doesn't automatically solve a contractor's field-access problems.
The jobsite still needs reliable connectivity.

Documents end up on personal devices or in locations the company didn't intend.
The answer isn't to eliminate security.
It's to design security around the way people actually work.
For every major file-sharing workflow, ask:
- Who needs access?
- What do they need access to?
- Where will they be working?
- How should outside parties receive information?
- How is access removed when someone no longer needs it?
That creates a more useful security objective:
Authorized people should have convenient access. Unauthorized people shouldn't.
For construction companies, both sides of that statement matter.
- Avoid Creating Multiple Sources of Truth
One of the biggest risks in construction file management is allowing multiple systems to become competing sources of truth.
Imagine a drawing exists in several places:
- On the office server
- In a Dropbox folder
- On someone's laptop

Which copy should the superintendent use?
If employees have to answer that question themselves, the technology process has already failed.

- Can you control access by employee, role, or outside party?
- Can access be removed promptly when someone leaves a project or company?
- Do jobsites have reliable enough internet connectivity for the platforms you're using?
- Are your jobsite networks standardized and documented?
- Can your IT provider support the complete workflow from the main office to the jobsite?
Several “no” answers are a good indication that the problem deserves a closer look.

Moving files to “the cloud” isn't, by itself, an IT strategy.
